Common questions about generating PDF documents from Shopify Flow: templates, languages, the download link, plans and usage, the developer API and data handling.

Answers to the questions we expect most often. If yours is not here, Troubleshooting covers errors in detail, and Support has every way to reach us.

Do I need Shopify Flow?

For automatic documents, yes. Flow runs your automation, and Workflow Documents adds a Generate document action to it. Flow is free from Shopify. Without Flow you can still generate documents through the Developer API. See Set up the Generate document action in Shopify Flow.

Which documents can I create?

Any document about one order, one product or one customer: invoices, packing slips, delivery notes, order confirmations, product data sheets, customer summaries and your own. Ready-made templates exist for an invoice, a packing slip, a product data sheet and a customer summary. See Create your first template.

Do I need to know HTML?

The ready-made templates work without touching the code: add your logo, colors and company details in Settings and they are yours. To change the layout or print more fields you edit HTML, CSS and Liquid, with a live preview next to the code. See The template editor.

Can I use the Liquid from my Shopify theme or from Order Printer?

The language is the same, the data is not. A document template sees the objects listed in Template variables and Liquid, with names close to Shopify's own, such as order.line_items. Theme objects, theme filters and includes are not available, so a template from elsewhere needs adapting.

Is the PDF attached to the email or to the order?

No. The action returns a download link that is valid for 7 days, and you put that link into an email or a request in the next Flow step. The PDF is not attached to the order in Shopify.

What happens after the 7 days?

The link stops working. The PDF itself stays downloadable on the Documents page for as long as your plan keeps it. See Document history and downloads.

What does it cost?

Free includes 100 documents per rolling 30 days. Starter is $9 per month for 1,000 documents, and Unlimited is $29 per month without a limit. Every plan includes all features, and there are no charges per document. See Plans and pricing.

Do previews count toward my plan?

No. The live preview, Preview PDF and downloads in the app are free. Documents generated by Shopify Flow and through the API count, and a failed document does not. See Plans and pricing.

What happens when my allowance is used up?

Further documents are refused until the rolling 30-day window frees up, and the Flow step fails with a message that says so. To keep generating right away, change to a larger plan. Nothing is billed on top of your plan. See Plans and pricing.

Can one template serve several languages?

Yes. Add languages to a template, each with its own HTML and file name. The document is rendered in the language of the action's Language field, else the customer's language, else the template's main language. A new language starts as a copy that you translate yourself. See Templates in several languages.

Can I use my own fonts?

Yes. Upload WOFF2, WOFF, TTF or OTF files in Settings, or pick a built-in font or a Google font. See Branding your documents.

Can one template look different from my brand?

Yes. The Branding tab of a template sets colors, fonts and font size for that template only. What it leaves empty uses your brand. See Branding your documents.

Can I rename a template?

Yes, but workflows find a template by its exact name. After renaming, update the Template name in every Generate document action that used the old name, or those steps fail.

Does a Flow retry generate the document twice?

No. If Flow retries a step that already succeeded, we return the earlier result instead of generating again, so it is not counted twice. See Set up the Generate document action in Shopify Flow.

Can I generate a document for an old order?

For orders of the last 60 days. Shopify does not give apps access to older orders by default, so a document for an older order fails with an order not found message. See Troubleshooting.

Can I create documents for draft orders, fulfillments or collections?

Not at the moment. Templates render orders, products and customers. If you need another kind, Request a feature.

Are invoice numbers generated?

The app does not keep a number sequence of its own. A template prints what the order carries, for example the order number with order.name. If your country requires a separate, gapless invoice number, check with your accountant whether the order number meets that requirement.

Can I generate documents from my own code or an AI assistant?

Yes. The Developer page issues API keys for a REST API and an MCP server. They manage templates and branding and generate documents. Documents generated this way count toward your plan. See Developer API and MCP.

Where is my data stored?

In the European Union. To render a document, the app reads the order, product or customer from your store at that moment. The generated PDF is stored for your plan's retention and then deleted. See Document history and downloads.
